How document review works
Review starts when a client uploads. The request page shows how many files are waiting.
- 1
Open the review screen
Every file is listed in checklist order with its state: To review, Accepted, Returned or Scanning. PDFs and photos preview beside the item’s instructions.
- 2
Accept or return
Press A to accept. Press R to return, pick a reason such as “Pages are missing” or write your own. Sealio jumps to the next file still to review.
- 3
The client fixes what was returned
A couple of minutes after you return files, the client gets one email listing all of them with your reasons and a link to upload new copies.
- 4
The request completes
Once every required item has an accepted file and nothing is waiting, the request is Complete and the client is told everything was received.
Decisions you can stand behind
Every preview, download and decision is written to the audit trail.
- Keyboard shortcuts
- A accepts, R returns, J and K move to the next and previous file.
- Reasons the client sees
- Returned files are marked “Needs changes” on the client’s page with your reason, so the second upload is the right one.
- One email, not five
- Returns are batched into a single message instead of one email per file.
- Accepted means locked
- An accepted file can no longer be removed by the client.
- Undo a decision
- Changed your mind? Undo it. If you later return a file or add a required item, the request reopens.
- Only checked files
- A file can be reviewed only after it passes the file-type check and, on plans that include it, the malware scan.
- Your file names
- Set a naming pattern such as {client}_{item}_{period} for accepted files when your team downloads them.

Reviewing five files in two minutes
A worked example with made-up names. Every step is something Sealio does today.
A client uploads five files overnight. The reviewer opens the request, chooses Review files, and the first file is on screen beside the item’s instructions. The T4 is right: A. The RRSP receipts are right: A. The rent receipt is missing its second page: R, pick “Pages are missing”, and Sealio moves to the next file.
Two minutes later the client receives one email naming the rent receipt and the reason. Their upload page marks that item “Needs changes”. When the new copy arrives it is the only file waiting, and accepting it completes the request.
Approval & rejection: questions and answers
What happens when I reject a document?
The file is marked Returned with your reason. The client sees “Needs changes” and the reason on their upload page, and gets one email listing every returned file with a link to upload new copies.
Can I undo an approval or a rejection?
Yes. Use “Undo decision” on the file. If you return a file on a completed request, the request reopens.
When is a request complete?
When every required item has an accepted file and nothing else is waiting for a decision. The client then gets an email saying everything was received.
Which files can be previewed?
PDFs and photos preview in the review screen today. Other files can be downloaded. Previews for Word and Excel files are planned.
