How discussion works
Every checklist item carries its own thread, so context never leaves the document it is about.
- 1
A client leaves a note
On the upload page, the client writes a note on any item, for example that a statement arrives next week.
- 2
Your team replies
Reply from the request page, on the same item. The client sees your answer on their upload page.
- 3
It stays on the record
Notes are part of the request’s history in the audit log, alongside uploads and decisions.
Three ways to say what you need
Most back-and-forth disappears when the request itself is clear.
- Item notes
- A two-way thread on each checklist item, between the client and your team.
- Return reasons
- When you return a file, the reason you pick or write is shown to the client on the item and in one email.
- A message on the request
- Write a message that appears at the top of the client’s upload page when you send.
- Instructions on every item
- Plain-language instructions sit under each item, so fewer questions are asked in the first place.
- Internal notes on cases
- Notes on a case are seen only by your team. Clients never see them.
One late statement, no email thread
A worked example with made-up names. Every step is something Sealio does today.
A client’s savings statement for March will not be issued until the following week. Instead of emailing, she leaves a note on the Bank statements item: can she send the chequing statement now? The bookkeeper replies on the same item from the request page: yes, and add savings here when it arrives.
A week later the client uploads the second statement and adds a short note. A colleague covering the account opens the request, reads three messages on that item, and knows exactly why it was late. Nothing had to be forwarded.
Discussion: questions and answers
Can clients ask questions about a specific document?
Yes. Clients can leave a note on any checklist item from their upload page, and your team can reply from the request page. Both see the whole conversation for that item.
Are notes private to my team?
Item notes are shared with the client. Internal notes on a case are visible only to your team.
Is the conversation kept?
Yes. Notes are part of the request’s history in the audit log.
