Sealio Docs

Your data, retention and deletion

Keep files only as long as you need them, delete a client for good, and export everything.

How long files are kept (In place)

By default Sealio keeps uploaded files until you delete them. To keep them for a set time instead, go to Settings → Review → Keep uploaded files and choose a period, from 30 days to 7 years.

Settings, Review: file naming for accepted files and how long uploaded files are kept
Settings → Review: how long files are kept.

The period starts when a request is closed: completed, cancelled or expired. Once it has passed, Sealio deletes that request's files within the hour. The request, its checklist and its history stay, so you can still see what was collected and when. Only Owners and Admins can change the period, and every change is recorded in the audit log.

Deleting a client permanently (In place)

When a client asks you to erase their information:

  1. Close or cancel their open requests.
  2. Open the client and choose Archive.
  3. Choose Delete permanently, type the client's name, and confirm.

Sealio erases their name, contact details, address and your own fields, deletes every file they uploaded, and stops their portal links from working. Their requests stay in your history as “Deleted client”, and the audit log records that the deletion happened but not what was erased. This can't be undone. Only Owners and Admins can delete clients.

Exporting all your data (In place)

On the Enterprise plan (once every 30 days), Owners and Admins can download everything their firm keeps in Sealio from Settings → Data → Start export. On other plans, contact Sealio support for a copy of your data. Sealio builds a ZIP in the background with:

  • your clients, requests, cases, documents and comments as JSON files, and
  • the files clients uploaded, in a folder per request.

When it's ready, choose Download. The link works for an hour; after that, start a new export. Each export and download is recorded in the audit log.

Planned

  • Closing your firm's account, with a 30-day grace period before everything is deleted.
